Event Assistant

On an event assistant apprenticeship course, you’ll help planners and project managers to organise and host events.

From small gatherings to massive gatherings with thousands of people, events come in various sizes. Among them are outdoor, cultural, sporting, and musical events, as well as conferences, seminars, trade shows, and exhibitions.

Companies use events to bring together various groups of people, such as employees at a sales conference, consumers or suppliers at a new product launch, and shareholders at an investment conference.

As an event assistant, you’ll work as part of a team at an events company or in the events department of a larger organisation. You’ll help a team of planners or project managers plan, organise, and produce an event by doing several tasks.

Finding the perfect site and venue for an event, coordinating with the design team on the event’s look and feel, and organising logistics such as transportation and food are examples.

What you’ll learn

On an event assistant apprenticeship course, you’ll learn to:

  • Gather data and information in response to a brief or request to find the best location and venue for an event.
  • Respond to requests from various functional teams and assist with event planning and preparation by doing multiple daily and weekly tasks.
  • Provide on-site support during an event by aiding the onsite team with various tasks, such as delegating registration.
  • Effectively manage your time, and learn how to prioritise jobs based on their relevance and urgency for event stakeholders.
  • Use software tools to create word and spreadsheet documents.
  • Contribute to reports, event project plans, and written presentations for clients.
  • Use several event technology platforms and in-house generated proprietary software and databases.
  • Keep an eye out for internal policies and regulations.
  • Listen to customer needs, interpreted, comprehended, vocalised, and responded to.
  • Establish rapport and trust with event stakeholders so they can collaborate effectively during the planning and execution stages.
  • Question effectively ensures that clients or coworkers know what is expected of them.
  • Have the capacity to form and maintain relationships with coworkers, vendors, and clients, as well as repair them when they are broken.
  • Aid in planning, managing, and reconciling event budgets, gathering information, checking data, and performing calculations.
  • Demonstrate how commercial awareness has been applied to task and time management, focusing on finding the most efficient and effective methods for completing a project as rapidly as possible.

Entry requirements

You’ll usually need:

  • 5 GCSEs at grades 9 to 4 (A* to C), or equivalent, including English and maths, for an advanced apprenticeship
  • Apprentices without level 2 English and maths will need to achieve this before taking the end-point assessment.

Assessment methods

The End Point Assessment comorises two distinct assessment methods: 

  • A project or case study in which the apprentice assists with an event or pitch covers the job’s essential aspects.
  • A Portfolio of Evidence collected during the apprenticeship comprises various types of evidence and supports the project, demonstrating that the apprentice has met the requirements of the Standard.

Duration, level, subjects and potential salary upon completion

  • Duration: 18 months
  • Level: 3 – Advanced Apprenticeship
  • Relevant school subjects: Business studies
  • Potential salary upon completion: £21,000 per annum
